Job Summary: 

LEGAL ASSISTANT POSITION DESCRIPTION

Candidate will be responsible for oversight of pre-suit and/or litigation matters, including the following duties, with limited supervision:

  • Manage pre-suit and/or litigation matters, following supervising attorney’s directions, to move cases forward efficiently.
  • Prepare and transmit correspondence related to pre-litigation, litigation and settlement.
  • Ensure the file has all the documents necessary for the attorney to make future legal determinations; assist with gathering, requesting, storing and organizing documents relevant to a legal analysis of our cases. 
  • Communicate by phone and email with requisite parties to obtain necessary documents.
  • Analyze outstanding issues that might be helpful in order to move the file forward.
  • Locate and enter data into Firm system to track new files to ensure efficient movement forward.
  • Monitor new and existing files to expedite case resolution and progress.  
  • Manage attorney’s calendar, including but not limited to providing attorney with reminders and advanced notice of pending items in order to ensure all deadlines are timely met.
  • Proactively schedule, calendar and maintain records of all deadlines, including court filings, court hearings, conferences, mediations and meetings. 
  • Coordinate, schedule and reschedule hearings with opposing counsel. 
  • Communicate with clients, judicial assistants, opposing counsel and court staff. 
  • Prepare and file legal documents and serve documents on third parties (with approval of supervising attorney). 
  • Negotiate with opposing counsel for purposes of entering into agreed orders (with approval of supervising attorney). 
  • Communicate with, maintain, and develop relationships with 3rd parties and newly-signed clients, with a focus on business development and increasing business levels. 
  • Work large case volume at reasonably fast pace with minimal errors. 
  • Provide intelligent, creative, quality service to clients and business contacts.
  • Perform other duties as assigned. 

Candidate must possess the following skills, among others:

  • High School Diploma or GED.
  • 1 to 2 years’ experience working in a Law Office or Legal Setting (Experience in the Property Damage Insurance field Preferred).
  • Understanding of basic legal terms and concepts. 
  • Exceptional communication skills (verbal and written), proof-reading and listening skills.
  • Excellent professional phone etiquette, professional manner and appearance.
  • Good organization, time management and attention to details.  
  • Ability to work independently, as well as be a team player.
  • Personable, friendly and outgoing.
  • Multi-tasking skills.
  • Willingness to learn and use Time Matters.
  • Highly proficient in Microsoft Office (Excel, Outlook, PowerPoint, Word), Adobe Acrobat and Internet Explorer or Google Chrome. 
  • Knowledge of how to use office equipment i.e. computer, copier, printer, scanner and multi-line telephone system.
  • Bilingual language skills in English/Spanish and/or Creole (A Plus).
