Job Summary: 

The Administrative Assistant / File Clerk supports intra-office communication, carry's out some administrative procedures, answers inbound phone calls and provides ancillary support to the Legal team and Communities.

  • Supports General Counsel and paralegals by handling office task, such as filing, setting up for meetings, copying/scanning, mail and reordering supplies.
  • Provides real-time scheduling support by booking appointments and preventing scheduling conflicts.
  • Makes travels arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Prepares business correspondence, generates reports, agendas, and presentations, typically using Microsoft (Word, Excel, PowerPoint, Access, Outlook).
  • Assures  confidential and proprietary content by maintaining confidential records and files.
  • Assists with all aspects of administrative management, directory maintenance, logistics, equipment and storage. 
  • Processes outside vendor invoices to ensure timely payment.
  • Reports all suspicions of abuse, neglect and/or financial exploitation of a Resident immediately to the supervisor, as described in the Company’s policy and procedures on reporting.
Requirements or Qualifications: 
  • Ability to communicate and work with all levels of the Company’s management staff effectively.
  • Ability to recognize and communicate problems appropriately.
  • Ability to relate to the Community team members and other professionals appropriately. 
  • Ability to communicate proficiently in English, verbally and in writing.
  • Ability to work flexible hours to meet requirements of the job and be on call as needed.
  • Ability to organize time, follow-up with the ability to perform job tasks efficiently.
  • Ability to maintain accurate records and provide information as requested and required.
  • Attention to detail.
  • Microsoft Suite, certification preferred.
