POSITION SUMMARY:
The Office of the Tribunal is an ecclesiastical (Church) court which concerns itself with judicial matters according to the Code of Canon Law and most matters dealing with the annulment process.
The Administrative Assistant II performs a variety of complex and confidential administrative duties in support of the Judicial Vicar and the Office of the Tribunal.
PRINCIPAL DUTIES:

  • Assist judges with case management to include: prioritizing cases that need to be reviewed, drafting responses, and coordinating sentence appeals.
  • Maintain judge's list. Send out monthly judges' list letters apprising parties of their place on list.
  • Assist judges by sending out 1stInstance decision letters and final notification letters.
  • Write letters, responding to requests for case status.
  • Coordinate Vetitum lifting process.
  • Assist the Judicial Vicar with preparation and submission of annual report to Vatican.
  • Respond to calls/voicemails and correspondence containing routine inquiries. Maintain a response tracking system/tickler file for action items and provide timely follow up on such items.
  • Maintain Tribunal calendar of meetings/appointments; schedule/reschedule meetings/appointments when required, including those with other dioceses for rogatorials and sentence reviews.
  • Perform routine administrative duties, including preparing correspondence, reports, memos, letters, and other documents using word processing, spreadsheet or database; maintain the court official listing and the creation and filing of appointment letters; establish, retrieve, and maintain department and subject files; maintain an inventory of office supplies, letterhead and other collateral material; maintain and coordinate service of office equipment.
  • Maintain, secure and protect confidential information and reports.
Requirements or Qualifications: 

QUALIFICATIONS:

  • Knowledge/Skills: Intermediate level proficiency in Microsoft Office (Word, Excel, PowerPoint) and Microsoft Outlook; highly proficient in use of common office equipment, including copiers and scanners; strong verbal and written communication skills, organizational skills and attention to detail; ability to use basic accounting or related computer programs to process and keep records; ability to comprehend and apply specialized nomenclature, systems and procedures; ability to handle sensitive situations with discretion and confidentiality; high level of energy and enthusiasm; active listener; team player.
  • Education Required: High school diploma or equivalent required; completion of some business college or equivalent course work preferred.
  • Legal or case management experience highly preferred.
  • Years and Types of Experience: At least 3 years of office experience, preferably in an administrative role providing support to managers at the executive level.
